Finding and managing gifts

The Gifts page and the gift record - searching and filtering, what each status means, editing labels, soft credits, refunds and exporting.

2 min read · Updated November 2, 2026

Giving → Gifts is the ledger: every online gift, recurring charge, hand-recorded check and imported gift, newest first.

Searching and filtering

Search by donor name, check number or exact amount. Filter by date range, Fund, Status and Payment method:

  • Status: Counted gifts (the default: succeeded and partially refunded), All statuses, Succeeded, Refunded, Failed / disputed, Pending.
  • Payment method: card, Apple / Google Pay, bank transfer, check, cash, in-kind; or by source, recurring charges or imported gifts.

Three totals update with the filter: matching gifts and donors, total given, and net after fees. Filters live in the page address, so you can bookmark a view or send it to a colleague.

Download CSV (shown to anyone with the download-exports permission: Finance, Admin or Owner) downloads the current filter as the Gift detail report. For more columns, grouping or scheduling, use Reports.

Gift statuses

StatusMeaning
SucceededMoney received (or a check/cash gift recorded). Counted in totals and receipted.
PendingA bank transfer (ACH) that hasn't settled yet; usually a few business days. Not receipted until it succeeds.
FailedThe charge was declined or the transfer bounced. Not counted. Recurring failures retry automatically (Failed recurring payments).
RefundedFully refunded. Not counted; the receipt was voided. A partially refunded gift stays counted at the net amount with a corrected receipt.
DisputedThe donor's bank reversed the charge (Disputes and chargebacks).

The gift record

Open a gift to see:

  • Details: date, amount, fund, campaign, appeal, payment method, check number, notes, and the form or import it came from.
  • Money breakdown: for online gifts, the amount, any processing fee the donor covered, Stripe's fee, the platform fee, and the net that reached your bank.
  • Donor: a link to the record.
  • Receipts: the receipt(s) issued, with Resend.
  • Thank-you: whether a thank-you was sent, printed or skipped.
  • Soft credits: people who influenced the gift without paying it. Add or remove them here; they show in the influencer's history and reports but never on receipts.
  • Refund: for online gifts, full or partial (Issue a refund). Needs the refund permission (Finance, Admin or Owner).

Edit (Staff, Finance, Admin or Owner) changes a gift's labels. For hand-recorded gifts you can change anything, including amount and date; the receipt already sent is not reissued. For online gifts you can change fund, campaign, appeal and notes only; the amount and date come from Stripe.

Recording gifts by hand

Record gift at the top of the page (or on the dashboard) takes checks, cash, in-kind gifts and other offline payments. See Record an offline gift.
