Receipts & year-end statements

Tax receipts, explained

When receipts are sent, what's on them, how they're numbered, and what happens when a gift changes.

2 min read · Updated October 31, 2026

DonorFinch issues a tax receipt for every gift automatically. You don't have to do anything, and you can't forget one.

When a receipt is sent

  • Online gifts: the moment the payment succeeds. Card payments succeed instantly; bank transfers (ACH) succeed when the money settles a few days later.
  • Gifts recorded by hand (checks, cash): when you save the gift, unless you untick "Send a receipt".
  • Imported gifts: never. Your previous system already receipted them. They still appear on year-end statements.
  • Recurring gifts: one receipt per charge, each month or year.

The email subject is "Thank you for your gift to Your Organization". It includes your form's thank-you message and the receipt as a PDF attachment. Recurring receipts also show the schedule, the next charge date and a link to manage the plan.

What's on the PDF

  • Your organization name, EIN and website
  • Receipt number and issue date
  • Donor name, email and mailing address (if collected)
  • Gift date, designation (fund), payment method, any in-honor/in-memory line
  • Gift amount, "Processing fees covered by donor" if applicable, "Less refund" if applicable, and the total charged
  • The statement: "Tax-deductible contribution: $X. No goods or services were provided in exchange for this contribution. [Organization] (EIN …) is a tax-exempt organization under Section 501(c)(3) of the Internal Revenue Code."

If your organization is not a 501(c)(3), that last sentence does not describe you. Tell us before you take gifts and we'll discuss the wording. See What DonorFinch can and can't say about taxes.

Numbering

Receipts are numbered sequentially per organization: R-000001, R-000002, … with no gaps. Year-end statements use YE-2026-000001. Numbers are never reused.

Receipts never change; they're replaced

A receipt is a record of what happened, so it's never edited. If something changes:

  • Partial refund: the original is voided and a corrected receipt is issued for the remaining deductible amount; the donor receives it as "Updated receipt R-000124 from Your Organization", and it notes which receipt it replaces.
  • Full refund: the receipt is voided with no replacement; the donor gets a refund notice.
  • Wrong donor details: fix the donor record. Past receipts keep what they had; the year-end statement will be correct.

Sender address

Receipts come from no-reply@donorfinch.com with your organization's name as the display name. Sending from your own domain is not available yet. Ask donors who don't see receipts to check spam and add the address to their contacts.

Where donors can find receipts later

In their donor portal at app.donorfinch.com/account, every receipt and statement from every organization they support, as PDFs. See The donor portal.
