Printing shipping labels and shipping partner gifts

The shipping queue - printing Dymo or Avery labels, pick lists, exporting to ShipStation or Pirate Ship, and marking gifts shipped.

4 min read · Updated November 1, 2026

Anything that has to physically reach a donor (a mug from a tier benefit, a printed welcome letter, a year-end gift) lands in Shipments. From there you print labels, hand a pick list to whoever packs boxes, or export a spreadsheet for your shipping service, then mark things shipped.

Needs the Ship partner gifts permission: Staff, Admin and Owner have it. Finance and Read-only don't.

What arrives in the queue

  • Tier benefits: a physical gift or welcome letter attached to a tier, created the moment a donor enters it.
  • Gift campaigns: "everyone in Champion gets the 2026 calendar". See below.
  • By hand: Add a shipment… on any donor's page.

Each item carries a snapshot of the donor's address at the time it was created. If the donor had no address, the item is flagged No address in red; add one inline (optionally saving it back to the donor record) or click Re-check donor addresses after an import fills them in.

Labels

Select the items, choose a label size and click Print labels. A PDF opens in a new tab for your print dialog.

LabelPrinterNotes
Dymo 30252 (3½ × 1⅛ in)Dymo LabelWriterAddress only. One label per page so the roll prints 1:1.
Dymo 30256 (4 × 2⅜ in)Dymo LabelWriterIncludes your return address.
Avery 5160 (1 × 2⅝ in, 30/sheet)Any laser or inkjetAddress only. Use Start at position to use up a partly-used sheet.
Avery 5163 (2 × 4 in, 10/sheet)Any laser or inkjetIncludes your return address.

Print at 100% / actual size, never "fit to page". Set your return address in Settings → Partners; without it the two large formats print the recipient only.

Printing marks the items Printed so you can see what has already been run. It does not mark them shipped.

Pick list

Pick list prints one sheet with totals per item ("12 × MUG-2026, 3 × CAL-2026") followed by a checkbox line per package: donor, what goes in, address status, your packer note. Nothing changes in the queue.

Exporting to a shipping service

Export CSV offers three layouts:

  • ShipStation: their order-import format. Order Number is the first eight characters of the shipment id; tier and campaign go into Custom Field 1 and 2.
  • Pirate Ship: their bulk-label upload. The item and quantity go on Rubber Stamp 1, the tier on Rubber Stamp 2.
  • Generic: every column, for anything else (Stamps.com, Shippo, a spreadsheet).

Shipments without an address are left out of the ShipStation and Pirate Ship files (they'd be rejected anyway) and the export marks items Exported. Buy postage in your shipping service, then come back and mark them shipped; paste the tracking number if you have one.

Marking shipped

Tick the items and click Mark shipped, optionally choosing the carrier ("they all went USPS today"), or use the Shipped button on a single row to record carrier and tracking number. Shipped items move to the Shipped tab, the matching tier benefit is recorded as fulfilled, and if Email partners when a gift is marked shipped is on in Settings → Partners, the donor gets a short "Something is on its way" note with the tracking number when you entered one. Donors marked do-not-contact are never emailed.

Use Cancel (with a reason) for things that won't ship: the donor moved, asked you not to, or already has one.

Gift campaigns

Shipments → Gift campaigns sends every donor in a tier the same thing. Create a campaign, add one rule per tier (tier → item code, description, value, quantity), and set the filters: only donors in their tier by a date, include or skip pinned donors, skip do-not-contact, skip anyone who received the same item in the last N days. Preview shows who's included and who has no address (downloadable list) before anything is created. Add to shipping queue creates the items; running it again later adds only newcomers, never duplicates. Close the campaign when the last box is out.

The value on year-end statements

The value you enter on a physical gift (what the IRS calls fair market value) is added up per donor per year once the gift ships, and printed on their year-end statement. See What is the "goods or services" line on a statement?
