Matching bank deposits to gifts

How the Deposits report reconciles each Stripe payout and check batch to the penny, and how to hand it to your bookkeeper.

2 min read · Updated October 31, 2026

Your bank statement shows a deposit of $1,842.17 from Stripe. Which gifts was that? The Deposits report answers it.

One row per deposit

Each row is either a Stripe payout or a manual deposit batch (checks and cash you grouped). For each:

ColumnMeaning
DateWhen it landed (payout arrival date, or the batch's deposit date)
Gross giftsSum of gift amounts, including fee cover
Stripe feesWhat Stripe took, from Stripe's own balance transactions
Platform feesDonorFinch's 1.2%
RefundsRefunds deducted from this payout (may relate to earlier gifts)
DisputesChargebacks and the $15 fee deducted from this payout
Net depositWhat hit the bank. Always equals the bank statement.
Tie-outConfirms gross − fees − refunds − disputes = net, to the cent

Open a row to see the individual gifts, with donor, fund and receipt number.

How to reconcile

  1. For each Stripe line on your bank statement, find the row with the same date and amount.
  2. Record it in your books as: debit Bank (net), debit Processing fees expense (Stripe fees + platform fees), credit Contribution income (gross), with refunds and disputes as negative income. The Fund summary inside each payout splits income by fund for restricted-gift tracking.
  3. If you use QuickBooks Online, DonorFinch does step 2 for you; see QuickBooks sync, explained.

Why a payout can include old gifts

Stripe payouts lag charges by a couple of days, and refunds or disputes can relate to gifts from weeks earlier. The Deposits report groups by payout, not by gift date, so it always matches the bank. Use Gift detail when you want gifts by date instead.

Gifts not yet paid out

Gifts still in Stripe's pending balance aren't in any payout row yet; they'll appear when Stripe pays them out. Use Gift detail for a by-date view that includes them.
