QuickBooks sync errors and fixes

What each sync-log message means and the one thing to do about it.

Problems appear in Settings → Accounting → Sync log and on your dashboard's attention list. Once you fix the cause, click Retry on the row (or Sync now at the top); the hourly run will also pick it up.

Not errors

  • Waiting for payout: the Stripe payout hasn't arrived yet.
  • Skipped: someone chose Skip on that deposit. Unskip to post it.

Deposit already in QuickBooks?

If you entered a deposit by hand before connecting, don't post it twice. Open the row in the sync log and choose Link existing deposit, then paste the QuickBooks transaction ID. DonorFinch won't create a duplicate; it also guards against duplicates automatically by checking the stored QuickBooks ID, the reference tag on the deposit, and the deposit's line fingerprint.

If the numbers look wrong

Open the deposit in DonorFinch's Deposits report and in QuickBooks side by side. The net should match the bank. If a fund split differs, a gift was probably moved to another fund after the deposit posted. Use Sync now in verify mode to re-read every posted deposit, or send us a ticket with the deposit date.
